12. LATE COLLECTION GUIDANCE


Guidance for Late Collection of Members Under 18 Years

Occasionally parents/carers may become delayed or unable to collect under 18-year-olds
from training sessions.

All under 18-year-olds must be registered on the RFU GMS site so their parents/guardian emergency contact details are known to the club.

Parents should be advised to contact their child and ask to speak to the coach or speak to the coach directly they will be delayed in collecting their child and advise them of the action to be taken. For example

- the parent/carer would need to advise if another adult will be collecting the child.

-the parent/carer must give parental permission to leave players aged 16 and 17 years on their own.

- some parents will allow their child to travel to and from training
sessions on their own, or with club mates, and in these situations the parent would be
required to inform the coach.

If a child is uncollected and the parent/carer has not been reached to clatify instructions, the following should occur.

Ideally - Two coaches/volunteers should stay with an uncollected under 18-year-old.
Club coaches and officers should consider:
• Avoid asking an under 18-year-old to wait alone with the uncollected U18
• Avoid allowing an U18 to leave with another club member without permission from the parent/carer.
• Avoid taking any U18 home or to another location unless this is the only safe option.
- If the only safe option is to take the U18 home by car, every effort
should be made to have a third person in the car (as per transport policy). If this is not possible, the child should sit in the back seat and permission from the parent/carer should be given beforehand. If permission cannot be gained from the parent the child should be driven to where a third person can be found (either U18s home or other safe destination) and if possible the journey recorded by the lone coach/volunteer.
